My own firm. As Chief Operating Officer of Common Ground I own the systems its five experts run on, and the contact book is the one every deal, bid and introduction starts from.

The book sat in pieces across a raw lead list, a phone, a message history and an inbox. On 25 April I moved it into HubSpot, and for about two weeks that looked like the job was done.

Problem

A book that answers relationship questions (who we know at a company, when we last spoke, what they bid) rather than funnel questions about lead stage and score.

What we did

Move again inside the month, before history made it expensive: back up first, companies before people, every record keeping its old ID, and the old system kept until the counts matched.

Result

From the migration log: 3,951 people, 2,934 companies and 3,469 associations between them landed in one day on 13 May 2026.
